Configra NZ Limited (New Zealand Business Number 9429032697704 / Company Number 2142280), trading as “Configra Parts” (“we“, “us“, or “our“), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, disclose and protect personal information in accordance with the Privacy Act 2020 and its Information Privacy Principles.
This policy applies to our website configraparts.co.nz, our trade accounts, and all dealings you have with us.

1. What is personal information?
Personal information is information about an identifiable individual. This may include your name, contact details, and other information described below. Where you deal with us on behalf of a business, this policy applies to the personal information of the individuals involved (for example, directors, guarantors, and account contacts).

Depending on how you interact with us, we may collect:
- Identity and contact details — name, job title, email address, phone number, delivery and billing addresses, and business details (company name, NZBN, GST number).
- Account and credit information — information in your trade account application, credit references, trade referees, bank details, and your creditworthiness and payment history.
- Guarantor information — where a personal guarantee is required, the identity, contact and credit information of each guarantor.
- Transaction information — orders, invoices, payments, products purchased, returns and warranty claims, and correspondence with us.
- Website and technical information — IP address, browser and device type, pages viewed, and information collected through cookies and analytics (see clause 8).
- Communications — records of your enquiries, support requests, and other communications with us.
3. How we collect information
We collect personal information:
- directly from you — when you apply for an account, place an order, contact us, or use our website;
- from third parties — such as credit reporting agencies, trade referees, and your nominated representatives, where you have authorised us to do so or where otherwise permitted by law; and
- automatically — through your use of our website.
Where it is reasonable and practicable, we collect personal information directly from you. If you do not provide information we request, we may be unable to process your application, supply goods or services, or provide a trade account.
4. How we use your information
We use personal information to:
- process and assess trade account applications, including conducting credit checks;
- process orders, deliver goods, provide services, and manage returns and warranties;
- manage your account, invoice you, and collect payment;
- recover overdue amounts, including through debt collection agencies;
- communicate with you and provide customer support;
- comply with our legal obligations;
- improve our website, products and services; and
- send you marketing communications where permitted (see clause 7).
5. Who we share your information with
We may disclose personal information to:
- Credit reporting agencies — to assess your creditworthiness, and to report account and default information where you are in default;
- Trade referees — nominated by you, to verify credit information;
- Debt collection agencies and our legal advisers — to recover overdue amounts;
- Payment providers and banks — to process payments;
- Couriers and freight providers — to deliver goods;
- Suppliers and manufacturers — to fulfil orders and process warranty or repair claims;
- Our service providers — such as IT, cloud hosting, accounting and analytics providers who help us run our business; and
- Others — where required or permitted by law, or where you have authorised the disclosure.
We do not sell your personal information.
6. Storage, security and overseas disclosure
6.1 We take reasonable steps to protect personal information from loss, misuse, unauthorised access, modification or disclosure.
6.2 Some of our service providers (for example, cloud hosting, email or analytics providers) may store or process information on servers located outside New Zealand. Where we disclose information overseas, we take reasonable steps to ensure it is subject to protections comparable to those under the Privacy Act 2020.
6.3 We retain personal information only for as long as necessary for the purposes described in this policy, or as required by law (for example, tax and business records must be kept for a minimum period). We securely dispose of information when it is no longer needed.
7. Marketing communications
7.1 We may send you marketing communications about our products, offers and services where you have consented or where otherwise permitted under the Unsolicited Electronic Messages Act 2007.
7.2 Every marketing message includes an unsubscribe option. You can opt out at any time by using that option or contacting us. Opting out of marketing does not affect communications necessary to manage your account or orders.

8.1 Our website uses cookies and similar technologies to help it function, remember your preferences, and understand how visitors use the site.
8.2 We may use analytics tools (such as Google Analytics) to collect aggregated information about website usage. You can disable cookies through your browser settings, though some features of the site may not work properly as a result.

9.1 You have the right to request access to the personal information we hold about you, and to request that we correct it if it is inaccurate.
9.2 To make a request, contact our Privacy Officer using the details in clause 12. We may need to verify your identity before responding. We will respond as soon as reasonably practicable, and within the timeframes required by the Privacy Act 2020. In limited circumstances we may decline a request, in which case we will explain why.

We may update this Privacy Policy from time to time. The current version is always available on our website, and the “last updated” date shows when it was last changed. Material changes will take effect when published.
